Position Overview

Administrative Duties

  • Answer phones, greet visitors, and manage general office correspondence.
  • Schedule meetings, appointments, and manage calendars.
  • Maintain filing systems—physical and digital—for company records.
  • Order office supplies and manage vendor relationships.
  • Prepare and format letters, memos, reports, and presentations.
  • Assist with onboarding new employees, paperwork, ID badges, and setup.
  • Coordinate travel arrangements when needed.

Accounting Duties

  • Process accounts payable and accounts receivable.
  • Prepare and send invoices and follow up on outstanding payments.
  • Record daily financial transactions in accounting software (e.g., QuickBooks, Xero).
  • Reconcile bank and credit card statements.
  • Assist with payroll processing and timesheet tracking.
  • Prepare expense reports and process employee reimbursements.
